We have implemented an updated Meta API to make the System User connection much easier than it used to be. Business System User is a special type of user account designed for automated interactions, ensuring secure and restricted access to your Facebook Business Manager.
PromoRepublic now supports two types of Facebook and Instagram connection:
Page Admin (default type) – Allows you to link business pages using your personal Facebook profile.
Business System User (recommended for white-label owners) – Authorizes access through a dedicated system user in your company's Meta Business Manager (aka Business Portfolio).
👉 Using System User is highly recommended for multiple business owners with a large number of business pages. Keep reading to learn why.
Consistency and reliability is the key benefit of using Business System User. Unlike personal users who may leave the company, change their Facebook password, or have their access level downgraded, a System User remains active as long as needed, ensuring connection stability.
👉 It helps maintain stable posting without disruptions from employee turnover, password changes, or any other possible troubles with a personal profile. No matter what happens, your scheduled posts will be posted as expected.
👉 Also, the posting will not be interrupted due to the expired token, and there will be no need to reconnect your Facebook and Instagram pages.

If you are a white-label owner and you want to connect a large number of Facebook and Instagram pages through a System User, ensure that you meet the following mandatory requirements:
🛎️ As already mentioned, a personal profile is not required, but it is essential to have one.
🛎️ Ensure that you are invited to the necessary Business Portfolio in Meta Business Suite.
🛎️ You must have full control there.
🛎️Make sure that the necessary business pages are added to this Business Portfolio.

Before creating ads in our platform using a System User, the following requirements must be met:
People with the Full Control permission of Business Portfolio who create and manage the System User must review and certify compliance with Facebook’s Discriminatory Practices Policy on behalf of their business.
System User will not be able to create ads until this compliance is certified.
The compliance agreement must be accepted if it has not already been accepted.
You can certify compliance in the following ways:
When prompted in Ads Manager, Meta Business Suite, Facebook, and other platforms.
To certify compliance:
Read and review the information about Facebook’s Discriminatory Practices Policy.
After reviewing the policies, click the I accept button to agree to comply with them and other applicable laws.
Once it's finished, compliance will be certified for yourself or for your System User.
How to connect a System User
How to connect a System User
Before you proceed with the System User connection, ensure that your personal profile is disconnected.
Open the Page Connect modal and click Connect Facebook Business or Instagram Business.
If you are a white-label owner, you will see two options to choose from:
Page Admin or Business System User. Select the latter.
Clicking the Connect button will bring up a permission window.
Select the necessary business portfolio from the listed ones and click Continue at the bottom. 👉 Remember that if you don't have full control of the portfolio, it will not be clickable.
5. Choose the necessary pages and click Continue at the bottom.
👉 Note that if you don't see some particular pages listed here, ensure that they are added to the business portfolio you selected in the previous step.
Or a page may be listed, although not clickable, indicating 'This asset is not owned by any business'. It means that you are an admin on this page directly through your Facebook personal profile, but it is not added to any business portfolio.
6. Choose the necessary ad account(s) and click Continue at the bottom. This step is essential for boosting posts.
If you don't have an ad account, you can create one. 👉 Remember that if you don't create or select any ad account in this step, you won't be able to boost posts through this System User.
7. Choose Instagram accounts and click Continue at the bottom. 👉 If the necessary ones are not listed, check if they are linked to specific Facebook business pages.
8. In the next two steps, review what SocialPost is requesting to access, click Save at the bottom and Confirm.
Once connected, your System User integration details will be visible in the Meta Business Suite settings under the Integrations section in Connected Apps.

Each Business Portfolio can have only one System User associated with it.

Let's imagine a scenario in which you set up the Business System User in the past, selected all pages, connected them, and it's been working successfully for you ever since.
Later, you created a new Facebook or Instagram* business page, or you got a new franchisee or a client, and now you want to connect this page too, but it is not listed in the drop-down menu in the platform's interface. What should you do?
Add the new asset to the appropriate business portfolio in Meta Business Suite.
Ensure you have full control access level there.
Navigate to your Promorepublic account, open Settings, and scroll down the page. At the bottom, click on Disconnect Facebook.
Reload the page and retry connecting the new page using the Business System User connection by following the guide above.
*For Instagram page connection, an additional step is required.

How does it work?
To connect pages via System User, you will need your Facebook personal profile, under which you may have multiple businesses (or brands) in your Meta Business Suite. One brand's pages are ususally stored in one Business Portfolio.
As you might have seen from the connection instruction above, Facebook’s interface only allows radio-button selection, so it’s not possible to select multiple Businesses at once.
In other words, when connecting your pages via System User, you can only select one Business Portfolio. In this case, what can you do with the rest of the portfolios? We can offer a workaround.
Workaround:
To manage multiple businesses (aka Facebook Business Portfolios), create a separate PromoRepublic account for each Business Portfolio using the same personal profile.
☝️ Note: One Business Portfolio can be connected to one PromoRepublic account. But on the other hand same Facebook personal profile can be connected to multiple PromoRepublic accounts.
Just to clarify, that one specific Business Portfolio can't be connected to multiple PromoRepublic accounts using the System User method. Otherwise, you may be prompted with a pop-up error informing you that the desired Business Portfolio is already connected to a different Promorepublic account.
👉 Let's take a look at the example:
Imagine you have 10 brands (10 businesses), and pages of each brand are stored in one Business Portfolio in the Meta Business Suite, which means that you have 10 Business Portfolios under your Facebook private account.
To connect them to our platform, you can use the same Facebook personal profile (your regular private account that represents you as a person) for 10 separate PromoRepublic accounts. Each PromoRepublic account will have one of the ten businesses (Business Portfolios).
