Automate Review Replies With AI

How PromoRepublic can automatically generate and publish AI-based review responses across locations, and how it compares to Saved Replies.

PromoRepublic can automatically generate and publish review responses using AI. This helps multi-location businesses maintain review response coverage across many locations, without teams writing every response manually or maintaining large libraries of predefined replies.

⚙️ How it works

When a review matches the conditions of your Reply Automation rule and has stayed unanswered for the rule’s No Response For window (24, 48 or 72 hours), PromoRepublic generates a response from the review content and your brand guidelines and publishes it automatically. ✅

Reviews that were already past that window when the rule was turned on are not answered.

💡 AI-generated replies are available where AI for Reputation Manager is enabled for your account (the same feature that suggests AI reply drafts).

🛠️ Set up an AI reply rule

  1. Open Reputation Manager and click Reply Assistant.

  2. Click Create New Rule.

  3. Set up the rule as usual: name, pages, rating (star ratings or recommendations), No Response For and Review contains text. See Review Reply Assistant for details on each field.

  4. In Reply Source, select the AI-generated reply option instead of Saved Replies.

  5. Configure the AI settings:

    • 🎨 Tone: Professional (default), Happy or Excited

    • 📏 Reply Length: Short (up to 280 characters), Medium (up to 750) or Long (up to 1,500)

    • ✏️ Additional instructions (optional): up to 500 characters of extra guidance, for example a softer voice for negative reviews or a sign-off to include

  6. Turn on the activation toggle and click Save.

  7. Review the consent dialog and click Enable AI replies to confirm.

Your rule now appears in the Reply Assistant list with an AI-generated replies badge.

💡 Why use AI-generated replies

AI-generated automatic replies are useful when you want to:

  • 📈 Improve review response coverage across many locations

  • ⏱️ Reduce repetitive work for local and central teams

  • 💬 Respond with wording that reflects the individual review

  • 🎯 Maintain shared brand guidance across locations

  • 📚 Reduce dependence on large libraries of predefined Saved Replies

⚖️ AI-generated replies vs. Saved Replies

📝 Saved Reply

🤖 AI-generated reply

What it is

A predefined response you've created and approved in advance

A response generated for each incoming review, following your configured brand guidance

Best when

Exact wording is required

Responses should feel relevant to the individual customer while still following central guidance

🔒 Consent and control

⚠️ Customer consent is required before AI-generated automatic replies can be enabled.

  • 📋 Automatically published AI replies are recorded, so the activity can be reviewed.

  • 🛑 If a response can't be generated successfully, the review remains unanswered rather than publishing an incomplete response.

📍 Check which locations are included

Reply Automation applies only to the locations or pages included in the rule.

When your organization adds new locations, review your existing Reply Automation rules and add the new locations where required.

💡 Tip: Include this check in your normal location onboarding process, so newly added locations aren't left outside your automated review workflow.
